Mobile Smart Phone Security

Mobile smart phones have become a common tool in our industry for email communications. If an email message received on your smart phone includes protected health or other confidential information this can pose a risk of unauthorized access if the device is lost or stolen. These phones often store email messages that can be easily retrieved from the device. The following are some fundamental smart phone practices that will help protect confidential information on the device from unauthorized access.

  1. You must enable PIN/password protection on your phone. The more complex the PIN/password, the better. HAIS can help with this, contact us at x3333.
    (Note: Devices using the HAIS Exchange system already have this PIN policy applied).
  2. Enable the device encryption setting, if available. HAIS can help with this, contact us at x3333. Do not store restricted information on the phone’s memory card (SD card) or any external storage that has NOT been encrypted.
  3. Turn off Bluetooth, Wi-Fi, NFC, and GPS when not specifically in use.
  4. The devices running any of the following operating systems are approved for use on the HAIS network:
    • Apple iOS 4.0+ (iPhone/iPod/iPad)
    • BlackBerry OS 5.0+
    • Android OS 2.1+
    • Windows Mobile 4.0+
  5. IMPORTANT: In the event the phone becomes lost or stolen, immediately contact the HAIS Security Team via x3333 and request a remote wipe of the phone. Wait to discontinue the service for the phone until after the remote wipe is accomplished. If you discontinue the service on the phone, remote wipe will no longer be available.


Setup Mobile Email - Apple iPhone/iPad


Follow these steps to set up iPhone/iPad Mail to access your UCI HS e-mail account.

  • Set up an e-mail account using Mail.
    • Select Settings, then Mail, Contacts, Calendar, and Add Account.

  • Select the account type.
    • Select Microsoft Exchange.

  • Enter your account information.
    • Enter your UCI HS e-mail address in the Email field.
    • Enter hs.uci.edu in the Domain field as shown in the image.
    • Enter your HS username in the Username field.
    • Enter your HS password in the Password field.
    • Enter your UCI e-mail address in the Description field.
    • Click Next.

  • Enter your Exchange server.
    • Enter myemail.hs.uci.edu in the Server field.
    • Click Next.

  • Select which features to synchronize.
    • Select the features to synchronize with your Exchange account. Once you've made your choices, Click Save.
      (You may be asked whether to keep or delete your existing contacts. Choose one, then click Save. Your iPhone/iPad will begin to sync.)



Configure Wireless Internet - Apple iPhone/iPad


Follow these steps to set up your Phone/iPad/iPod Touch 2.0.x and above, to use the wireless network at UCI Medical Center.

  1. Configure your Wi-Fi.
    • Select Settings.
    • Select Wi-Fi.

  2. Select the "UCIHealth" Wireless Network.
    • Set your Wi-Fi to ON if you haven't already done so.
    • Select "UCIHealth"

  3. Authenticate.
    • In the Password field, enter: ucirvineaccess.
    • Click "Join".

Setup Mobile Email - Android 2.x


Follow these steps to set up your Android device running Android 2.x to access your UCI Medical Center Exchange e-mail account.
  1. Access e-mail options.
    • Select Email from the main menu.

  2. Select the account type.
    • On the Set up email screen, enter your UCI e-mail address in the first field.
    • Enter your HS password in the second field.
    • Click Next.

  3. Enter your account information.
    • On the Exchange server settings screen, select Exchange account for type of account.
    • Enter hs\ and your HS username in the Domain\Username field.
    • Droid 3 does not require the hs\ and the domain\Username fields are separate Enter your HS password in the Password field.
    • Enter myemail.hs.uci.edu in the Exchange Server field.
    • Select Use secure connection (SSL).
    • Click Next.

  4. Configure account options.
    • On the Account options screen, select Automatic (Push) in the Email checking frequency field.
    • Select One week in the Amount to synchronize field.
    • Check Send email from this account by default, Notify me when email arrives, and Sync contacts from this account.
    • Click Next.

  5. Complete your setup.
    • On the Set up email screen, enter a name for the account (example: UCI) in the Give this account a name (optional) field.
    • Enter your name in the next field.
    • Click Done.
    Note: It may take a few minutes to fully sync all your messages to your inbox.



    Configure Wireless Internet - Android 2.x


    Follow these steps to set up your Android device running Android 2.0.x and above to use "UCIMCnet Secure Access" encrypted wireless at UCI Medical Center.
    1. Configure your Wi-Fi.
      • Select Settings.
      • Select Wireless & Networks.
      • Select Wi-Fi Settings.

    2. Select the encrypted wireless service.
      • Under Wi-Fi networks, select "UCIMCnet Secure Access".
        • If "UCIMCnet Secure Access" isn’t on the list, you may need to move to another area with better connectivity.

    3. Configure "UCIMCnet Secure Access" options.
      • EAP Method: Select PEAP.
      • Phase 2 Authentication: Select MSCHAPV2.
      • For both CA certificate and Client certificate, leave as N/A. (this may not be shown on some android phones)

    4. Continue configuring "UCIMCnet Secure Access" options.
      • Identity field: Enter your HS username.
      • Anonymous Identity field: Leave blank.
      • Wireless Password field: Enter your HS password.
      • Click Connect.

    5. Verify your connection.
      • Under Wi-Fi, you should see Connected to "UCIMCnet Secure Access"z.



    Setup Mobile Email - BlackBerry


    Follow these steps to set up your BlackBerry device to access your UCI Medical Center Exchange e-mail account.

    NOTE: A separate account/password will need to be created for you on the UCIMC BlackBerry Enterprise Server before you can complete the following steps. Please contact the Help Desk at x3333 if you haven't already done so.

    1. Setup your BlackBerry Email.
      • Click the Setup Wizard icon in the main menu of your BlackBerry.
      • If Listed, select Enterprise Activation
      • When prompted, enter your @uci.edu e-mail address.
      • If prompted for an activation password, type the password provided to you prior to step 1. This one-time setting is required in some cases, and must be set up by the Help Desk.
      • If prompted for the name of the activation server, enter myemail.hs.uci.edu (BlackBerry Bold models require this step).
      • Activation usually takes a few minutes, but could take up to 1 hour depending on the amount of e-mail you have in your account.
      • When the Activation Complete prompt appears, click OK.


    Configure Wireless Internet - BlackBerry


    Follow these steps to set up your BlackBerry device to use Secure Access encrypted wireless at UCI Medical Center.
    1. Scan for available wireless networks.
      • Navigate to Manage Connections.
      • Select Set Up Wi-Fi Network.
      • Select Scan For Networks.
      • It may take a few minutes for your device to finish scanning for available networks. Once completed, select "UCIMCnet Secure Access".

    2. Configure the Wi-Fi Security menu for "UCIMCnet Secure Access".
      • Security Type: Select PEAP.
      • User name: Enter your HS username.
      • User password: Enter your HS password.
      • Inner link Security: Select EAP-MS-CHAP v2.
      • Token: Leave as None Selected.
      • Server subject: Leave blank.
      • Server SAN: Leave blank.
    3. Connect to "UCIMCnet Secure Access".
      • Click Connect.
      • Once connected, select Yes for "Save this Wi-Fi Network as a Profile?"
      • Click Next.
      • You are now connected to the "UCIMCnet Secure Access" network.
      Wi-Fi can be left on. Your device will automatically connect when the network is in range.
